Job Title: Administrative Judicial Legal Assistant
Job Responsibilities:
The Administrative Judicial Legal Assistant, classified as a Senior Legal Typist, is responsible for providing legal administrative and clerical support under unique and complex circumstances within the Department of Industrial Relations, specifically in the Division of Workers' Compensation. The position involves preparing and serving orders, decisions, and correspondence, as well as providing secretarial and administrative support to Workers' Compensation Judges. Key duties include:
- Reviewing and evaluating paper and electronically submitted legal documents, extracting detailed information, recording case status from court proceedings, updating case participant information, scheduling hearings, and preparing and scanning documents into the Electronic Adjudication Management System (EAMS).
- Monitoring inbox and work queues for assigned tasks, tracking and updating activity and deadlines in the judges' calendar.
- Reviewing and processing legal documents, including case opening documents, petitions, legal briefs, pleadings, permanent disability rating instructions, and walk-through documents submitted in EAMS.
- Utilizing EAMS templates to prepare orders, awards, decisions, and other documents, serving documents on all parties to the proceedings, and drafting Orders or Findings & Awards based on a judge’s instruction.
- Assisting parties and litigants in person, by telephone, email, or fax, and assisting other departmental units.
- Reviewing and processing incoming mail to assigned cases in EAMS or referring it to the judge for action.
- Preparing reports and monthly statistics and transcribing machine dictation from a judge for reports, decisions, or orders.
Marginal job functions include performing other duties as assigned to fulfill the operational needs of the department or as directed by the Legal Support Supervisor I or Presiding Workers’ Compensation Judge, such as assisting with ordering supplies or equipment, responding to requests for information from the public, and assisting other staff with administrative functions.
Education and Experience Information:
To qualify for the position of Senior Legal Typist, candidates must meet one of the following criteria:
Either I:
- Experience: One year of experience in typing and clerical work, with at least six months involving legal work requiring the preparation of legal correspondence, petitions, briefs, motions, depositions, and various legal notices and forms. Academic education above the 12th grade may substitute for six months of the required general experience on the basis of one year of general education being equivalent to three months of general experience, or one year of education of a business or commercial nature being equivalent to six months of general experience.
Or II:
- Completion of a certificated legal secretarial program at a regionally accredited college or business school approved by the Bureau of Private Postsecondary and Vocational Education and accredited by the Accrediting Council for Independent Colleges and Schools may substitute for all of the required general and legal experience.
Knowledge and abilities required for the Senior Legal Typist include:
- Knowledge of technical legal terms, various legal forms and documents and their processing, modern office methods, supplies, and equipment, and business English and correspondence.
- Ability to type at a speed of 45 words per minute, read and write English at a level required for successful job performance, establish and maintain effective working relationships, prepare correspondence independently, perform difficult legal clerical work including processing a large variety of legal documents, spell correctly, use good English, make arithmetic computations, transcribe accurately difficult dictation involving a variety of legal terms from a dictating machine, communicate effectively, follow directions, and analyze situations accurately and take effective action.
Salary Information:
The salary for the Senior Legal Typist position ranges from $3, to $5, per month. There are two salary ranges, with Range A offering a salary from $3, to $4,, and Range B offering a salary from $4, to $5,.
Working Conditions:
The position is located in San Francisco County, with the possibility of telework two days a week. The work environment includes an air-conditioned office building with natural and artificial lighting and temperature control. The Senior Legal Typist works extensively on computers, scanners, copiers, telephones, faxes, and shredders as necessary for processing work, drafting email communication, and other purposes. The incumbent works in a cubicle in close proximity to others, with quiet to moderate noise levels.
Additional Requirements/Expectations:
The Senior Legal Typist must demonstrate the ability to establish and maintain cooperative working relationships with staff at all levels within and outside of the department. The incumbent must have the ability to communicate effectively orally and in writing, adapt to changes in priority of assignments, read, understand and follow oral and written instructions, and have good computer skills with proficiency in Microsoft Office software. The position requires prolonged sitting and working at a computer for extended periods of time, as well as the ability to move and transport office items safely. The incumbent is expected to maintain confidentiality at all times due to access to sensitive information and the nature of work performed.
