Job Title:
Office Administrative Staff
Experience Information:
Minimum of 2 years of experience in office administration or a similar role.
Previous experience in a law firm or other professional services environment is preferred.
Bilingual skills in Mandarin, Korean, or Spanish is a plus, but not required.
Responsibilities:
H1: Office Administration Staff Responsibilities
H2: Answering and Directing Communications
- Answering and directing phone calls and emails.
- Greeting clients and visitors, and providing excellent customer service.
H2: Managing Office Operations
- Managing office supplies and inventory, including ordering and restocking as needed.
- Maintaining office equipment, including scheduling repairs and maintenance.
- Assisting with scheduling and coordinating meetings, events, and travel arrangements.
- Preparing and editing documents, correspondence, and reports.
- Filing and organizing documents, records, and other materials.
H2: Supporting Attorneys and Office Staff
- Providing general support to attorneys and other office staff as needed.
- Support HR functions, including benefits administration, employee records, and new hire onboarding.
- Assist with ad hoc administrative tasks, such as report preparation, expense management, and event planning.
Requirements:
H1: Office Administrative Staff Requirements
- Proven work experience as an Office Administrative Staff member or similar role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and other office software.
- Ability to multitask and prioritize workload effectively.
- Attention to detail and accuracy.
- Ability to work independently and as part of a team.
Education and Qualifications:
H1: Education and Qualifications
- Bachelor’s degree in Business Administration or a related field is preferred.
- Relevant certifications or training courses in office administration, bookkeeping, or related fields are a plus.
