SBU Support Specialist
The candidate will provide administrative support to Strategic Business Unit (SBU) Leadership by performing a wide variety of complex and administrative functions. Provide a variety of complex and administrative support and independently oversee special projects as assigned. Effectively interface with executive leadership and external and internal customers at all levels. Effectively interface and coordinate duties and projects. Coordinate (including agenda and material development and distribution), attend and participate in SBU meetings. Coordinate purchasing, expense and/or workflow invoice procedures in Chrome River. Work closely with Accounting department to ensure accurate and timely submittals and record-keeping, including processing monthly corporate credit card statements. Responsible for scheduling and coordinating appointment/meetings including Outlook calendaring, Maptician maintenance, etc. Arrange complex, multi-location meetings which require video-conference and web-based participation; and work includes occasional dictation of meetings. Responsible for the coordination of travel, including airline reservations/online check-ins, hotel reservations, ground transportation, etc; utilize the travel portal; and coordinate vendor travel when necessary. When appropriate, screen and answer incoming internal and external questions/calls. Understand and disseminate confidential information. Consistent availability and ability to serve as a central contact to people inside and outside the Firm. Responsible for coordinating/administering special projects. Open, sort, and distribute mail. Assist with creating, editing, proofreading, maintaining and/or revising documents as needed, including Excel, Word, Adobe and PowerPoint. Work collaboratively within the team and adapts to ever-changing business demands and priorities and embraces new requests as learning opportunities. Consider different points of view and collaborate to form action plans for completing projects. Proactively demonstrate effective teamwork and communication with team members and all Firm personnel. Actively participate in regular team meetings to discuss current projects and workflow. Take responsibility for regularly exchanging information and training tips with team members for maximum job effectiveness. Cope successfully with office demands and remain calm under pressure. Operate office equipment including PCs, printers, phones, copiers, facsimiles and typewriters. Work collaboratively and closely with SBU Leaders and Managing Directors to assist in fulfilling annual business plan goals and objectives, support of business development initiatives, budgets and performance targets. Coordinate (including agenda and material development and distribution), attend and participate in SBU meetings. Work collaboratively with the firm's administrative and legal resources (Accounting, Administrative Services, Client Development, DE&I, Human Resources, Growth, Information Technology, Recruiting, Talent, etc.) to effectively support the SBU's needs. Work collaboratively with Client Development Strategists and Client Account Managers to ensure business development support initiatives and needs are met.
