**MEMBERS ONLY**SIGN UP NOW***. (referred to as "law firm") is seeking a highly skilled Private Client Legal Admin/Executive Assistant to support multiple attorneys in the Private Client Department (Trusts & Estates). This non-exempt role offers the opportunity to work remotely 1-2 days a week and requires a minimum of 8-10 years of administrative, legal, or executive assistant experience. The ideal candidate is a resourceful self-starter with exceptional attention to detail and organizational skills, and a willingness to develop a deep understanding of the Private Client practice and clients.
Responsibilities for this role include serving as the right-hand to the attorneys in managing their practices and clients, assisting with administrative tasks, and maintaining strict confidentiality. The successful candidate will also be responsible for managing calendars and diaries, drafting and editing legal documents, arranging travel and logistics, and tracking business development activities. Exceptional written and verbal communication skills, along with a high level of professionalism and flexibility, are essential for this role.
To qualify, candidates should have a BA/BS degree (preferred but not required) and expertise in Microsoft Word, Outlook, PowerPoint, and Excel. A comprehensive understanding of PDF functions is also required. The physical demands of this job include sitting/standing at a desk for most of the day, frequent movement around the office, and occasional lifting of objects up to 25 lbs.
The salary for this position ranges from $65,000 to $75,000 and the law firm offers a comprehensive benefits package.
Responsibilities:
- Serve as the right-hand to attorneys in managing their Private Client practices and clients
- Develop a deep understanding of the practices and clients
- Manage flow of information and prioritize and address requests from internal and external clients
- Proactively assist attorneys with their practices and administrative tasks
- Monitor and manage attorneys' calendars and diaries for time-keeping purposes
- Draft, format, proofread, and edit legal documents, presentations, and spreadsheets
- Assist with time entry and preparation of client bills
- Arrange and coordinate logistics and services for meetings, events, signings, etc.
- Handle travel arrangements for out-of-town meetings and conferences
- Coordinate reimbursements and reconcile expenses
- Track business development activities and follow-up actions
- Develop positive relationships with firm members and vendors
- Transmit all correspondence and legal documents to appropriate files
- Arrange for service of process, hand-deliveries, and conference calls
- Communicate and relay work assignments between partners, associates, and other firm personnel
Qualifications:
- BA/BS degree preferred, but not required
- 8-10 years of administrative, legal, or executive assistant experience
- Private Client or Trust and Estates experience preferred
- Expertise in Microsoft Word (styles), Outlook, PowerPoint, and Excel
- Comprehensive understanding of PDF (Kofax, Adobe) functions
- Excellent attention to detail and organizational skills
- Top-notch client service skills, both internal and external
- High level of professionalism, organization, flexibility, thoughtfulness, initiative, and reliability
- Exceptional written and verbal communication skills
- Ability to remain calm and professional under pressure
- Ability to maintain strict confidentiality
- Creative problem-solving skills and ability to anticipate next tasks
- Effective communication with all levels of personnel within the firm
- Willingness to occasionally work overtime
Physical Demands:
