Legal Secretary The candidate will prepare legal filings: format documents, pull exhibits, proofread and redact documents. Provide detailed and high-level secretarial and administrative support in a team. Prepare court forms such as summons and subpoenas. Schedule client meetings, reserve conference rooms, coordinate audio visual equipment and food needs. Coordinate all aspects of the lawyers travel arrangements (domestic and international), prepare itineraries and monitor and process travel reimbursements in a timely manner; maintain Outlook calendar and contacts and monitor crucial due dates for lawyers as required. Answer phones and direct callers as required, receive, register and assist visitors as required. Monitor lawyers incoming emails as directed and when required. E-file court filings. Open new matters. Type, revise and proofread general correspondence, memos, legal documents, and reports. Ensure accuracy and clarity of all work product in a timely manner. Prepare client billing as required/follow through on all client billing matters. Become familiar with court rules and filing procedures. Retrieve court decisions from Westlaw. Prepare cover letters for attorney bills. Input billing information into billing software. Schedule conferences and depositions, maintain attorney calendars. Manage bills for third party vendors, process check requests and follow up with accounting.
The candidate must have 2+ years of Litigation experience. Prior legal work experience is required. Prior experience with litigation procedures and processes, e-filing, and creating table of authorities a plus. Familiarity with State and Federal court procedures and rules is a plus. Excellent written and verbal communication skills are essential. Must know Microsoft Office Suite (Word, Outlook, Excel) and general familiarity with windows filing structures.
