You will handle billing and accounting matters, including reviewing and adhering to General Counsel Guidelines, and utilize your technical skills to produce high quality work product. You will also serve as the primary liaison between clients and staff, ensuring effective communication and addressing client queries. Additionally, you will provide back-up support to Legal Administrative Assistant teams.

Handle Billing and Accounting Matters
Your responsibilities as a Legal Administrative Assistant will include reviewing and adhering to General Counsel Guidelines, opening new client and/or matter numbers, performing conflict checks, and providing monthly bills for attorney review. You will also make appropriate transfers, write-offs, and corrections, and apply retainers on account fees and account disbursements for third-party billings. Additionally, you will handle special billing requests from clients and maintain billing files. You will act as a liaison with Accounting Department on past due receivables and coordinate with other Legal Administrative Assistants on bills managed by other attorneys.

Process Time Entries and Expense Reports
In this role, you will be responsible for entering and reviewing attorneys' time entries on a daily or weekly basis in the Firm’s time management system. You will maintain time entry deadlines and coordinate the timely submission of attorney hours. You will also prepare and reconcile monthly corporate credit card statements for assigned attorneys, process expense reports, and obtain necessary Firm checks or petty cash.

Format and Process Documents
Your technical skills will come in handy as you process and format Word and Excel documents using prescribed Firm formats, including comparisons, conversions, merges, and creation of tables of contents/authorities. You will also perform processes associated with court services, including filing, requesting transcripts, and litigation searching. Additionally, you will assist attorneys with PowerPoint presentations, including basic graphic enhancements using SmartArt, graphs/charts, and inserting images from the Firm’s pre-licensed image library.

Proofread for Accuracy
As a Legal Administrative Assistant, you will be responsible for proofreading all documents (both draft and final) to ensure accuracy of copy, grammar, punctuation, and syntax, as well as conformance to Firm formats. You will also prepare correspondence and email drafts for attorney review.

Ensure Proper Document Management
You will play a crucial role in ensuring all documents are properly saved to appropriate workspaces within the Firm’s document management system. You will verify tasks are completed, check for accuracy, and ensure that the appropriate metadata cleansing has been applied.

Coordinate Mail and Filing
In this role, you will be responsible for opening and promptly distributing incoming mail and date stamping, if requested. You will also arrange for the appropriate delivery of documents through mail, facsimile, overnight delivery, or messenger services. Additionally, you will set up and maintain client, work, chronological, pleading, and personal files, including electronic files on the Firm’s DMS (iManage). You will also coordinate transfer of inactive or closed files to Records Coordinator or offsite storage facilities and maintain a computerized index of all files in the Firm’s standard format.

Coordinate Meetings and Appointments
You will be responsible for coordinating conference room scheduling and office reservations as needed using the Firm’s space management software. You will also coordinate meetings, appointments, and conferences, arrange catering service, and prepare necessary materials. You will also coordinate set-up and clean-up before and after meetings with Office Services staff.

Maintain Calendars and Dockets
As a Legal Administrative Assistant, you will maintain Outlook calendars for attorneys, provide reminders, schedule meetings, and court appearances as necessary. You will also coordinate docketing requests with the Docket Coordinator, maintain a tickler system, and follow up on requests made by attorneys, paralegals, and clients.
