Overview
- Full-time, remote hybrid position in Boston, MA
- Responsible for managing day-to-day activities and information flow for attorneys
- Maximizes attorneys' time and productivity by anticipating needs and providing support
- Foster open communication and build professional network within the firm
- Coordinate schedules, travel arrangements, billing, document production, and other tasks
- Assist with billing and invoicing processes
- Bachelor's degree or equivalent experience required
- 5+ years of executive assistant experience, preferably in a law firm or professional services
- Strong interpersonal and communication skills
- Tech-savvy with knowledge of Microsoft Office Suite and collaboration tools
- Possess sound judgment and discretion
- Certified Notary Public preferred
- Estimated salary range of $80,000 to $100,000
Responsibilities
- Foster open and frequent communication with assigned attorneys
- Demonstrate knowledge of attorneys' work habits and preferences
- Serve as first point of contact for managing schedules, travel, billing, and document production
- Develop understanding of attorneys' work and build professional network within the firm
- Coordinate attorneys' Outlook calendars and prioritize conflicting needs
- Arrange logistics for meetings, programs, and events
- Interface with clients and other departments on attorneys' behalf
- Assist with billing and invoicing processes
- Perform administrative tasks such as preparing diaries and processing expenses
- Create client matter intake forms
- Compose, edit, and proofread emails and documents
- Monitor travel and expense reimbursement requests
- Organize and maintain key documents in document management system
- Suggest new processes and procedures to improve workflow
- Perform notary duties
- Work on ad hoc and special projects
- Other duties as assigned
Education
- Bachelor's degree or equivalent experience
- Bachelor's degree in legal studies, business, or related field preferred
Skills and Experience
- 5+ years of executive assistant experience, preferably in a law firm or professional services
- Excellent interpersonal and communication skills
- Strong attention to detail and ability to multi-task
- Ability to work independently and collaboratively as part of a team
- Tech-savvy with knowledge of Microsoft Office Suite and collaboration tools
- Sound judgment and discretion when handling confidential information
- Flexibility and adaptability to changing priorities and deadlines
- Certified Notary Public preferred
Salary Information
- Estimated salary range of $80,000 to $100,000 at the time of posting
- Actual salary offered will depend on individual qualifications and experience
- Non-exempt position, eligible for overtime pay
