Job Summary:
The Litigation Client Service Specialist (CSS) will work as part of our Client Service Team (CST) to provide support to a team of attorneys in a specific practice area. This role involves a variety of administrative tasks, including managing attorney calendars, coordinating travel arrangements, preparing legal documents, and communicating with clients. The CSS will also work closely with the New Business Intake Team to process new business requests and maintain client case files. Collaboration and teamwork are essential in this role, as the CSS will work closely with other Legal Team Assistants and resources to complete tasks and projects. The ideal candidate will have a minimum of seven years of experience in a law firm or legal/corporate department, with a strong understanding of New York court filing procedures.
Responsibilities:
- Provide superior client service by answering and screening calls, assisting clients when needed
- Work closely with attorneys and clients to ensure smooth communication and transfer of information
- Manage client-specific data to enhance interactions
- Prioritize and manage workflow of assigned tasks and projects, coordinating with other support services
- Maintain attorney calendars and assist with meeting deadlines
- Prepare legal documents, memoranda, and correspondence
- Edit, format, and proofread documents with a high level of accuracy and attention to detail
- Assist multiple attorneys and provide additional support and coverage as needed
- Transmit legal documents to clients, witnesses, and court officials
- Process new business requests and maintain client case files
- Calendar critical deadlines and other important dates
- Collaborate with Legal Team Assistants and other resources as needed
- Adhere to all firm policies, procedures, and guidelines while maintaining confidentiality
Qualifications:
- Associate's degree preferred, Bachelor's degree a plus (applicable work experience may be considered)
- Minimum of seven years of related experience in a law firm or legal/corporate department
- Strong understanding of New York court filing procedures
- Ability to prioritize and manage multiple tasks in a fast-paced, deadline-driven environment
- Excellent communication skills, both written and verbal
- Professional demeanor and appearance
- High level of confidentiality and customer service skills
- Proficiency in legal terminology and experience in related practice areas
- Experience with court and administrative filings and meeting deadlines
- Proficiency in MS Office Suite, with keyboarding skills of 60 wpm or higher
Compensation and Benefits:
The salary range for this position varies based on experience, education, and other factors. The estimated range for this role in New York is $65,000 - $85,000. Our firm offers a comprehensive benefits package, including medical, dental, vision, and 401(k) options.
Work Environment and Physical Demands:
This role operates in a clerical, office setting and requires the use of standard office equipment. The employee may be required to lift, carry, push, pull, or otherwise move objects weighing up to 50 pounds. Visual acuity is necessary for tasks such as transcribing and viewing a computer terminal.
