Job Title: PI Legal Assistant

Job Responsibilities:
1. Organize and maintain client files in adherence to law firm standards, ensuring accurate and timely filing of all relevant documents such as letters, records, prelitigation/litigation correspondence, investigations, pleadings, discovery, filings, writs/complaints, and other pertinent materials.
2. Transcribe dictation accurately and expediently, following the standards set by the law firm.
3. Schedule and prepare notices, and request checks for depositions, mediations, and other legal actions.
4. Order, organize, copy, and review medical records as necessary for case preparation.
5. Enter all relevant case and client information into the Needles system, maintaining a current checklist in accordance with law firm standards.
6. Assist in preparing and filing legal documents such as pleadings, motions, briefs, forms, subpoenas, and other trial-related materials as needed and requested by attorneys.
7. Conduct non-legal computer research to support client cases, following directions provided.
8. Generate and maintain settlement folders, client contacts, and all related documents to ensure settlements are completed efficiently and accurately.
9. Assist with opening, maintaining, and closing estate-related petitions and settlement documents.
10. Generate documentation and prepare correspondence related to client referrals and rejections.
11. Perform administrative tasks for attorneys, including processing expenses, maintaining calendars, scheduling meetings, requesting and mailing invoice payments, proofreading documents, requesting witness fee checks, and coordinating attendance as required by subpoenas.
12. Provide general administrative support, including typing, filing, preparing correspondence, assisting with reports and presentations, photocopying, faxing, collating, making travel arrangements, answering phones, recording messages, and other related activities.

Education and Experience Information:
- A minimum of two (2) years of administrative experience in a law firm or in-house legal department is preferred.
- A minimum of two (2) years of experience in personal injury or a related field is preferred.
- An associate's or technical degree is preferred.
- An equivalent combination of training and relevant work experience may be substituted for training/experience on a year-for-year basis.

Additional Requirements:

- Possess knowledge of the personal injury legal process, medical legal billing, and coordination of benefits.
- Ability to support the preparation of documents with strict confidentiality, including independently drafting documents for review and signature as needed. Ability to transcribe dictation.

- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to effectively handle multiple and shifting priorities while maintaining professional composure.

- Proficiency in advanced computer skills, including MS Office applications (Word, Excel, PowerPoint), Adobe Pro, Internet, E-mail, and other software as required.
