Legal Secretary The candidate prepares, edits, formats and finalizes all legal documents. Files all pleadings with the appropriate courts (electronically or via messenger service). Prepares, edits, formats and finalizes all discovery. Serves all documents timely. Contacts attorney service for filing or service of process. Follows up to ensure all filings and services are complete. Drafts, revises and finalizes correspondence. Sends out all correspondence with enclosures timely, creates envelopes and sends out all cc's accurately. Faxes documents out - follows up and makes sure they were sent and no error occurred. Accurately proofreads all documents. Transcribes dictation. Maintains expertise in MS Word and iCreate, including general formatting, styles, generation of Tables of Contents and Tables of Authorities. Has knowledge of Forms Workflow. Has knowledge of all court filing procedures and court rules. Has knowledge of citation styles (Blue Book and CA Style Manual). Tracks assigned attorneys' whereabouts at all times and knows how to reach them. Maintains a calendar of assigned attorneys' appointments. Maintains a calendar of assigned attorneys' litigation deadlines. Reminds attorneys as needed of meetings and litigation deadlines either by email, Outlook reminder or other effective means. Prints and reviews attorneys' Compulaw calendars weekly. Creates and maintains all contact information for cases to which assigned. Receives and sorts mail. Reviews all incoming mail for dates to calendar. Routes faxes and informs attorneys of important mail and nature of faxes. Opens new matters. Assists with closing of files once matters are completed. Will review file and get rid of all duplicates/working copies and make sure file is complete. Makes travel arrangements. Schedules and makes appointments for attorneys as needed. Coordinates and schedules conference calls as needed. Reserves conference rooms when needed. Sets-up conference rooms when needed. Arranges for court reporter and videographer when needed. Photocopies/scans documents either personally or by instruction through Administrative Assistant. Arranges for outside copy service of voluminous documents as needed. Scans and files documents into iManage. Should have 3 years of legal secretary experience.
