Job Title: Front Desk Administrative Assistant
Job Responsibilities:
- Opening and closing of the office.
- Manage client communication, including answering questions and ensuring client needs are met.
- Review Outlook scheduled appointments and relevant calendars, staying aware of upcoming meetings or deadlines.
- Scan all signed forms into Filevine after client reviews.
- Handle payments in various forms such as cash, money order, check, and LawPay.
- Process mail by scanning and uploading it to DropBox.
- Regularly clean and organize commonly used areas of the office, seating area, and conference rooms.
- Provide general administrative support, including ordering supplies, managing office equipment, and handling other administrative tasks.
- Maintain supplies inventory by checking stock levels, anticipating needed supplies, and placing and expediting orders.
- Maintain confidentiality of all sensitive information and documents.
- Perform other duties as assigned by the supervisor.
- Provide administrative support to ensure efficient operation of the office.
- Carry out administrative duties such as filing, copying, binding, and scanning.
- Exhibit polite and professional communication via phone, e-mail, and mail.
- Support the team by performing tasks related to organization and strong communication.
- Contribute to team effort by accomplishing related results as needed.
Education and Experience Information:
- Fluency in Spanish is required.
- Ability to commute to Phoenix and Glendale, AZ offices; this is not a remote position.
- High school diploma or equivalent.
- Microsoft Office: 1 year (preferred).
- Customer Service: 1 year (preferred).
- 1-3 years of similar experience (preferred).
- Must be reliable, accurate, detail-oriented, and able to maintain confidentiality.
- Strong work ethic and problem-solving skills.
- Experience utilizing MS Word, Excel, and Google products.
