Key Responsibilities:
- Greet and welcome clients, visitors, and vendors in a professional and friendly manner.
- Answer and direct phone calls, taking accurate messages and ensuring follow-up as needed.
- Schedule and confirm client appointments and meetings, maintaining an organized calendar.
- Manage office correspondence, including emails, faxes, and mail.
- Process payments and assist with billing inquiries.
- Maintain and update client records in the firm’s case management system.
- Assist attorneys and paralegals with the preparation, proofreading, and filing of legal documents.
- Organize and maintain client files, ensuring they are up-to-date and properly filed.
- Prepare and format legal forms and documents in compliance with immigration law requirements.
- Help communicate with clients regarding document requests or case updates.
- Assist with maintaining case deadlines and tracking important dates for immigration filings.
- Perform other administrative tasks as needed to support the attorneys and legal team.
Qualifications:
- High school diploma or equivalent; college coursework or legal education is a plus.
- Previous experience in a receptionist or administrative role, preferably in a legal or customer service setting.
- Experience or strong interest in immigration law is preferred.
- Strong communication skills (both verbal and written).
- Excellent organizational skills and attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal case management software is a plus.
