Job Responsibilities
- Provides administrative support to partners, counsel, associates, and staff attorneys
- Manages standard administrative functions such as answering and routing calls, opening and routing mail, maintaining files, and preparing expense reports
- Proactively anticipates attorney needs and offers solutions and preemptive support
- Prepares engagement letters, client/matter memos, and updates active client/matter lists
- Utilizes tracking charts for billing and new business processes
- Handles document preparation, processing, and quality control of work product
- Assists with client billing and promotes business development through maintaining contacts and assembling mailing lists
- Utilizes software applications such as Excel and PowerPoint to facilitate attorneys' work
- Makes complex travel arrangements and assists with visa requirements
- Delegates work to other departments and ensures accuracy
- Assists with attorney personal work when needed
- Ensures proper functioning of software and hardware used by attorneys
- Performs other support services when needed
- Demonstrates effective communication and interpersonal skills
- Manages firm resources responsibly and adheres to firm policies and procedures
- Performs special projects as assigned
Qualifications
- Knowledge of relevant firm computer software programs (., Word, Outlook, Excel, PowerPoint)
- Effective communication and interpersonal skills
- Close attention to detail and ability to handle multiple projects and shifting priorities
- Ability to work well independently and within a team
- Ability to synthesize information and prioritize tasks in a fast-paced environment
- Flexibility to work in-office at least four days per week and handle physical tasks such as lifting and carrying up to 10 pounds
- Ability to handle sensitive matters and maintain confidentiality
- High level of professionalism and willingness to perform beyond routine expectations
- Flexibility to adjust hours to meet business needs
Education & Experience
- High school diploma or equivalent
- Minimum of three years of office experience or equivalent combination of education and experience
