Overview
- Orrick, a global law firm, is seeking a Client File Management Specialist for their . offices.
- The position offers flexibility with potential for remote work.
- The Specialist will work closely with the records leadership team and cross-departmental groups to administer and support the firm’s client file management strategy.
Responsibilities
- Act as liaison between records department and client file retention and disposition process.
- Coordinate with regional records managers, local office records teams, and other department managers to identify and process client files for destruction or release back to the client.
- Conduct regular audits of client file records and generate reports to support the firm’s retention and disposition program.
- Update records management database with retention policies and disposition decisions.
- Communicate retention policies and procedures to local records teams and other departments.
- Develop and maintain records retention and disposition standards.
- Participate in developing and maintaining relationships with third-party vendors.
- Create and update procedure manuals for records staff and end users.
- Consult with attorneys and administrative staff on document management options, resources, and policies.
- Provide support for department initiatives and tasks.
- Adhere to and enforce firm Records and Information Governance policies and procedures.
- Mentor and train junior department members.
- Develop and participate in department and firm trainings.
Qualifications
- High School diploma or equivalent required, Bachelor’s degree preferred.
- Minimum of 2 years legal records and data management experience, with at least 1 year supporting a retention disposition program.
- Basic understanding of legal technology concepts.
- Familiarity with legal terminology, processes, and records taxonomy.
- Knowledge of various technology offerings including NetDocuments, Microsoft Office, and client collaboration tools.
- Strong written and verbal communication skills.
- Excellent interpersonal skills and ability to work in a customer service-oriented environment.
- Results-driven and able to provide creative solutions.
- Team-oriented with ability to collaborate across the organization.
- Ability to work independently with minimal supervision.
- Desire and commitment to ongoing education and development in information governance.
- Ability to mentor junior department members.
