This is a challenging and rewarding opportunity for a detail-oriented and organized individual who excels in providing administrative support and working directly with clients. The position is available in our offices located in Chicago, IL; Denver, CO; Kansas City, MO; Miami, FL; New York, NY; Philadelphia, PA; St. Louis, MO; and Wilmington, DE. As a Senior IP Specialist, you will be responsible for managing complex administrative tasks and ensuring that client expectations are consistently exceeded. Your role will involve working closely with clients, inventors, and licensing and patent managers to ensure smooth and efficient operations within the Intellectual Property practice group. This is a highly visible position that requires exceptional communication skills and the ability to prioritize and manage multiple tasks simultaneously. Key Responsibilities: Independently correspond with clients, inventors, and licensing and patent managers Review, prioritize, and manage daily dockets, including client dockets, to ensure timely completion of tasks and workload tracking Submit patents and other required filings to the USPTO office, including preparation, formatting, document review and analysis, and communication with team and clients regarding due dates and status Ensure all requirements are met to meet USPTO’s filing expectations, including securing signatures and critical documents from clients Administer assigned client(s) by tracking all client team correspondence, maintaining templates, and generating documents Prepare and file Information Disclosure Statements (IDS), conduct prior art searches, and maintain IDS databases for cross-referencing of prior art Prepare competitive bid requests for new applications and patentability assessment reports Prepare and upload Task Order Requests for Quotes (TORFQs) for domestic and foreign patent prosecution work Draft formal reporting letters, quarterly invoice progress reports, and annuity payment reports to clients; maintain detailed client portal of all required documentation Maintain client files (both paper and electronic), invoice spreadsheets, and task order spreadsheets; organize and file documents in designated order; complete electronic scanning Conduct accounting tasks, including processing expenses, reimbursements, invoices, pre-bills, and entering time into the Firm’s time and billing system, reviewing billing statements, and editing same for preparation of final billing Competencies: Decision Making – Ability to make quick decisions with limited information and prioritize tasks effectively Communication – Excellent communication skills with the ability to convey complex information in a clear, concise, and organized manner Leadership – Ability to provide constructive feedback to peers, train new employees, find solutions to problems, and work autonomously Continuous Learning – Willingness to identify self-training needs and opportunities and adapt to changes in the workplace Teamwork – Strong team player who can actively participate, provide feedback and solutions, and listen and respond constructively to others' concerns Alignment to Values - Demonstrates the Firm's values and actively participates in diversity and inclusion efforts Qualifications: Bachelor’s degree in a relevant field Paralegal certificate strongly preferred 10+ years of legal experience 5+ years of Intellectual Property legal experience preferred Physical Requirements: Ability to sit for prolonged periods and work on a computer Apply in: Chicago Denver Kansas City Miami New York Philadelphia St. Louis Wilmington Salary Information: New York Salary Range: $75,000 - $92,000 Colorado Salary Range: $76,000 - $90,000 To apply for this position, please email your resume to .
